What clients can expect before, during and after field work

These typical procedures help the project team prepare the site, coordinate access and understand how information and deliverables move through the project.

1. Scope confirmation

  • Confirm the project limits and areas to be documented.
  • Identify the intended use of the data and required deliverables.
  • Confirm accuracy requirements, file formats and applicable milestones.
  • Document exclusions, assumptions and optional services.

2. Scheduling and site access

  • Provide a primary site contact and access instructions.
  • Arrange keys, escorts, security clearance or controlled-area permissions.
  • Identify occupied spaces, restricted rooms and preferred work windows.
  • Advise CSDA of shutdowns, traffic controls or schedule limitations.

3. Site preparation

  • Provide safe, reasonable access to the areas included in the scope.
  • Remove temporary obstructions when hidden conditions must be documented.
  • Notify occupants and other trades when field work may affect their areas.
  • Identify hazards, sensitive operations and site-specific rules in advance.

4. Field-work expectations

  • Equipment will be positioned throughout the agreed capture area.
  • Short access pauses may be requested to reduce movement in critical scans.
  • Field personnel will follow the agreed site-safety and conduct requirements.
  • Conditions that differ materially from the scope may require coordination.

5. Data processing and quality review

  • Captured data is registered, organized and reviewed for usable coverage.
  • Models or drawings are developed to the level established in the scope.
  • Quality checks address alignment, completeness and deliverable consistency.
  • Unobservable or inaccessible conditions are not represented as verified.

6. Delivery and revisions

  • Deliverables are issued in the agreed file formats and transfer method.
  • Client review comments should be consolidated through one contact.
  • Revisions outside the approved scope may require additional authorization.
  • Data retention and ownership follow the executed agreement and applicable terms.
